Instructor View: add a 'hold' option in addition to 'approve'

Originally, I wanted a 'hold' and 'delete' button here as we make assignments so that we can get rid of some of the noise as we 'approve' courses to be assigned to a particular instructor. Now I'm thinking we probably don't want a delete function because then you are modifying the original teaching preference of the instructor. However, I think a 'hold' button would be good. An example of using this option is that I have assigned 3 courses to a particular instructor and he's now teaching his full load. However, as we continue to assign instructors, sometimes we need to go back and modify what we originally 'approved'. So we want to continue to see what the instructor was willing to teach in addition to what we assigned him. I would like to put the courses not assigned to him, 'on hold' which would show in a different color than green or the text would show as strike thru or something. Also, this would help in the 'course' view, as you are assigning courses, I don't want to see instructor X on that course view if he now has a full load. It's fine to have instructor X continue to show but because I put that course on his preferences on hold, I now see his name striked thru or a different color. Again, we need to preserve the original preferences but be able to clear out some of the clutter to see who still needs to have courses assigned and which courses still need an instructor assigned. Hopefully this all makes sense??

Makes sense but we've gone ahead and added a delete button. The two options now are to delete, approve, or leave as unapproved.


I think this covers your workflow but let me know otherwise.

Ability to list "Staff" as the instructor

In some cases we know that we have to teach a certain course, but we don't know who the instructor will be. We may reach out to Grad Students, temporary instructors or adjunct faculty. We want to make sure we don't forget to assign an instructor to a course. In Banner, even if we don't have an instructor yet, or maybe the instructor isn't entered in PPS yet, we can still enter the course with "Staff" as the instructor name. We'd like to have that as an option in the 'By Course' view. Actually, it would be nice if we can have an instructor called 'Staff' (it can even be tied to my email or someone's email that we enter) that way we can look at the 'Instructor' view and see what classes we still need to find instructors for.

Ability to assign instructor in the "By Course" Teaching Preferences view

It's nice that one can assign instructors in the Teaching Preference "By Instructor" view but the same functionality should be available in the "By Course" view as well.

We have added the ability to assign an instructor in the By Course view. We have also gone ahead and added the ability to delete an instructor's preferences as per more recent conversations. This puts the Teaching Assignments page in a very functional, not archival, light, so any user needs to be careful that they only delete a preference which is truly not needed.


Leaving a preference unapproved is a good way to remember an instructor asked for that course and is available should they be needed as a backup.

Save v Submit - teaching preferences

When completing the Teaching Preferences it would be nice to have a “save but don’t submit” button rather than just “Done.” I imagine instructors will want to have the option to put together their first draft and finalize at a later date without submitting.

Enrollment Totals by row and column

It would be great to have a summary of how many seats are planned in each quarter and across the entire year. This could update depending on what we are viewing. Quarterly totals at the bottom of each column. Annual totals across each row and across the bottom.

Should be availability not UNavailability

There is no way to indicate when you’d like to teach or how big you want the class to be. The “unavailability” part is too small and very difficult...

The usability of the unavailability grid is important to us so if it seems as though instructors are misusing that component we would be happy to revisit it.


For now, let's go with Meshell's idea of using the textboxes at the bottom of the page to capture how many seats an instructor wants. That hadn't come up in our research before and we need to make sure the concern goes beyond Psychology's process before adding it to IPA.

Ability to remove Summer Sessions from the Teaching Preferences view

Just like we can remove summer sessions or show one quarter at a time in the 'Annual Plan' view, i'd like to be able to remove the summer sessions from showing on the Teaching Preferences views. And likely the ability to just see one quarter at a time vs. the whole academic year.
